{"id":95,"date":"2020-05-21T04:25:13","date_gmt":"2020-05-21T04:25:13","guid":{"rendered":"https:\/\/phoenix-payroll.com\/kb\/?p=95"},"modified":"2020-05-23T13:23:25","modified_gmt":"2020-05-23T13:23:25","slug":"payroll-manual-employees-section","status":"publish","type":"post","link":"https:\/\/phoenix-payroll.com\/kb\/payroll-manual-employees-section\/","title":{"rendered":"Employees Section"},"content":{"rendered":"\n<p>Clicking on the <strong>Employees<\/strong> section button on the left panel of the main GUI brings you to the <strong>Employees<\/strong> section.\u00a0 In the <strong>Employees<\/strong> section, a listing of all employees is displayed in the main data panel.\u00a0 Several views can be selected by right-clicking on the \u201cMain Data Panel\u201d:\u00a0 <strong>New, Properties, Select All, Delete, Filter, Find and Manage columns<\/strong><\/p>\n\n\n\n<p>The Employees listing provides a means of quickly viewing employee details.&nbsp; Columns shown in this view may be customized, according to fields selected. Data can be sorted per column by simply clicking on the column title.&nbsp; Data may also be filtered accordingly by right clicking on \u201cMain Data Panel\u201d on a popup menu select <strong>Filter<\/strong>, and selecting the desired filter rule.<\/p>\n\n\n\n<p><strong>Manage columns<\/strong> can easily customize the Main Data Panel view. Can select fields what will show in Main Data Panel and <strong>Custom Filter <\/strong>canselect a custom filter.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"580\" height=\"376\" src=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-7.png?resize=580%2C376&#038;ssl=1\" alt=\"\" class=\"wp-image-96\" srcset=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-7.png?w=623&amp;ssl=1 623w, https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-7.png?resize=300%2C195&amp;ssl=1 300w\" sizes=\"auto, (max-width: 580px) 100vw, 580px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\"><a>Employee Properties Form<\/a><\/h2>\n\n\n\n<p>The Employee Properties Form is a mini HRIS within Phoenix Payroll, which stores basic employee information necessary for government compliance on payroll computation.&nbsp; Required fields within the Employee Properties Form are highlighted with a red asterisk, which must be completed by the user prior to saving.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><a>General Tab<\/a><\/h2>\n\n\n\n<p>The General Tab records \u201cGeneral\u201d information about the employee.\u00a0<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"501\" height=\"575\" src=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-8.png?resize=501%2C575&#038;ssl=1\" alt=\"\" class=\"wp-image-97\" srcset=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-8.png?w=501&amp;ssl=1 501w, https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-8.png?resize=261%2C300&amp;ssl=1 261w\" sizes=\"auto, (max-width: 501px) 100vw, 501px\" \/><\/figure>\n\n\n\n<p class=\"has-text-color has-primary-color\"><a>The fields that make up the General tab are described hereunder:<\/a><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>ID#<\/strong> &#8211; 20-digit alphanumeric identification number used for storing an employee\u2019s ID<em>#<\/em>, as assigned by the company<\/li><li><strong>Prefix<\/strong> &#8211; Optional prefix for this employee (i.e. Mr., Mrs., Ms., Dr., Atty., etc.)<\/li><li><strong>First Name<\/strong> &#8211; Stores the first name of the employee<\/li><li><strong>Middle Name<\/strong> &#8211; Stores the middle name of the employee<\/li><li><strong>Last Name<\/strong> &#8211; Stores the last name of the employee<\/li><li><strong>Suffix<\/strong> &#8211; Optional suffix for this employee (i.e. Jr., Sr., II, III, MD, etc.)<\/li><li><strong>File As<\/strong> &#8211; Stores the full name of the employee, however way you wish them to be filed and correspondingly displayed in the system reports<\/li><li><strong>Position<\/strong> &#8211; Stores the position of the employee within the company.&nbsp; Positions are remembered by the system as records are saved.&nbsp; Thus, when a new Position is saved for a particular employee, this position will appear in the drill down menu the next time the Employee Properties Form is opened.<\/li><li><strong>Department<\/strong> &#8211; The Department field stores the department that this particular employee belongs to.&nbsp; Users may only select a department as given in the drill down menu.&nbsp; Therefore, it is recommended that all company departments be encoded in the Corporate Section of System Settings, first, before employee records are encoded.<\/li><li><strong>Branch\/Site<\/strong> &#8211; The Branch\/Site field stores the branch\/site that this particular employee belongs to.&nbsp; Users may only select a branch\/code as given in the drill down menu.&nbsp; Like the Department, it is recommended that all company branch\/site be encoded in the Corporate Section of System Settings, first, before employee records are encoded.<\/li><li><strong>Job Grade<\/strong><strong> <\/strong>\u2013 Stores the job grade of the employee. Job Grade is a grade of salary.<\/li><\/ul>\n\n\n\n<h2 class=\"has-text-color wp-block-heading\" style=\"color:#0071a1\"><a>Payroll Tab<\/a><\/h2>\n\n\n\n<p>The Payroll tab stores pay period information of the employees.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"501\" height=\"575\" src=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-9.png?resize=501%2C575&#038;ssl=1\" alt=\"\" class=\"wp-image-98\" srcset=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-9.png?w=501&amp;ssl=1 501w, https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-9.png?resize=261%2C300&amp;ssl=1 261w\" sizes=\"auto, (max-width: 501px) 100vw, 501px\" \/><\/figure>\n\n\n\n<p>The fields that make up the Payroll tab are described hereunder:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Pay Period<\/strong> \u2013 Stores the pay period processing type of the employee.<\/li><li><strong>Tax Type<\/strong> \u2013 Stores the taxation type of the employee &#8211; Regular Wtax or Expanded Wtax.<\/li><li><strong>Chrono Number<\/strong> \u2013 Stores the chrono number of the employee, this field will only be enabled when you select the option <strong>Attendance is extracted from the Attendance Disk<\/strong> or <strong>Auto-attendance based on Pay Period<\/strong>.<\/li><li><strong>Manual entry of attendance information<\/strong> \u2013 select this option if employee attendance records are to be inputted manually.<\/li><li><strong>Auto attendance. based on employee\u2019s Pay Period<\/strong> \u2013 select this option if the system will compute for assumed attendance based on current pay period.<\/li><li><strong>Attendance is extracted from the attendance disk<\/strong> \u2013 select this option if employee attendance records will be extracted directly from a T&amp;A Device or from a text file.<\/li><li><strong>Wage \u2013 <\/strong>Stores the wage type of the employee with corresponding basic rate.<\/li><li><strong>Minimum Wage Earner (MWE) \u2013 <\/strong>check this option to classify the employee as minimum wage earner.<\/li><li><strong>Wage is computed NET of Deductions <\/strong>\u2013 All government deducted benefits and WTAX from employees will give it back as a <strong>Gov\u2019t Deductions Offset<\/strong>.<\/li><li><strong>Auto-set button \u2013 <\/strong>This button enables upon editing of wages. Click this button to automatically display the converted rate (based on set Annual working days) for the uncheck wage types.<\/li><li><strong>Formula button \u2013 <\/strong>This button is used if you would like to apply different value of Annual working days for the particular employee.<\/li><li><strong>Clear button \u2013<\/strong> This button is clicked to clear the values of the three wage types \u2013 hourly, daily and monthly.<\/li><li><strong>Customize button \u2013<\/strong> This button is used to add a new or view history of pre-programmed promotion or change rate.<\/li><\/ul>\n\n\n\n<h2 class=\"has-text-color wp-block-heading\" style=\"color:#0071a1\"><a>Attendance<\/a> tab <\/h2>\n\n\n\n<p>The Attendance tab stores employee\u2019s individual attendance settings.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"501\" height=\"575\" src=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-10.png?resize=501%2C575&#038;ssl=1\" alt=\"\" class=\"wp-image-99\" srcset=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-10.png?w=501&amp;ssl=1 501w, https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-10.png?resize=261%2C300&amp;ssl=1 261w\" sizes=\"auto, (max-width: 501px) 100vw, 501px\" \/><\/figure>\n\n\n\n<p>The fields that make up the Attendance tab are described hereunder:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Attendances based on authorized shifts<\/strong> \u2013 Select this option if employee attendance is based on shifts.&nbsp; You must add authorized shifts from the list of shifts set in <strong>Preferences<\/strong><strong>\u00ae<\/strong><strong> Settings <\/strong><strong>\u00ae<\/strong> <strong>Shifts<\/strong>.<\/li><li><strong>Attendances based on employee schedules<\/strong> \u2013 Select this option if employee attendance is based on employee schedules set in <strong>Schedules Section<\/strong><\/li><li><strong>Rest Day Schedules <\/strong>\u2013 This setting is for adding shift codes to be considered during attendance entry or importation each time the system encounters attendance valid attendance records during Rest day.<\/li><li>The user can also set the <strong>Max hours per day<\/strong> and <strong>Break per day<\/strong>.<\/li><li><strong>Auto adds Holiday<\/strong> \u2013 Stores the option to automatically add holidays based on the calendar of holidays.<\/li><li><strong>Auto adds Special Day<\/strong> \u2013 Stores the option to automatically add special holiday based on the added special day on calendar.<\/li><li><strong>Working Days<\/strong> \u2013 Stores the daily work schedule of the employee.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><a>Leaves Tab<\/a><\/h2>\n\n\n\n<p>The Leaves tab displays the leaves information of employee. Stores the salutation to be used when sending email messages or mail-merged letters to this employee (i.e. \u201cDear John,\u201d or \u201cDear Mr. Doe\u201d)<\/li><li><strong>E-mail<\/strong> &#8211; Stores employee\u2019s email address to be used for sending payslips.<\/li><li><strong>URL<\/strong> &#8211; Stores employee\u2019s internet home page<\/li><li><strong>Phone1<\/strong> &#8211; Stores employee\u2019s primary phone number<\/li><li><strong>Phone2<\/strong> &#8211; Stores employee\u2019s secondary phone number<\/li><li><strong>Mobile<\/strong> &#8211; Stores employee\u2019s mobile phone number<\/li><li><strong>Addresses<\/strong> &#8211; Stores three addresses &#8211;\u00a0 <strong>Registered Address<\/strong> (which corresponds to BIR registration of an employee), <strong>Foreign Address<\/strong>, and <strong>Local Home Address<\/strong>.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><a>Personal Tab<\/a><\/h2>\n\n\n\n<p>The Personal tab stores the employee\u2019s government identification number and Bank Account<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"501\" height=\"575\" src=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-14.png?resize=501%2C575&#038;ssl=1\" alt=\"\" class=\"wp-image-106\" srcset=\"https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-14.png?w=501&amp;ssl=1 501w, https:\/\/i0.wp.com\/phoenix-payroll.com\/kb\/wp-content\/uploads\/2020\/05\/image-14.png?resize=261%2C300&amp;ssl=1 261w\" sizes=\"auto, (max-width: 501px) 100vw, 501px\" \/><\/figure>\n\n\n\n<p>The fields that make up the Personal tab are described hereunder:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Birthday<\/strong> \u2013 Stores date of birth of employee<\/li><li><strong>TIN<\/strong> \u2013 Stores employee\u2019s BIR Tax Identification No.<\/li><li><strong>PhilHealth No. <\/strong>\u2013Stores the employee\u2019s PhilHealth number<\/li><li><strong>Pag-Ibig No. <\/strong>\u2013Stores the employee\u2019s Pag-Ibig number<\/li><li><strong>Bank Account. <\/strong>\u2013 Stores the employee\u2019s bank account number, this will be used on payroll bank deposit utility.<\/li><li><strong>PRC License<\/strong> &#8211; Stores the employee\u2019s (PRC) Professional Regulation Commission ID number<\/li><li><strong>RDO Code<\/strong> \u2013 Stores the BIR (RDO) Revenue District Office code<\/li><li>GSIS members account details can also be stored.<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><a>Employment Tab<\/a><\/h2>\n\n\n\n<p>The Employment tab stores employment status of the employee and government deductions settings.<\/p>\n\n\n\n<p>&nbsp;The fields that make up the Employment tab are described hereunder:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Hire Date<\/strong> \u2013 Stores the hire date of the employee<\/li><li><strong>Anniversary Date<\/strong> \u2013 Stores the anniversary date of the employee (a year after the hire date)<\/li><li><strong>Status<\/strong> \u2013 Stores the employment status of the employee<\/li><li><strong>Employment History<\/strong>&#8211;
